There’s more to your books than the bank balance

A practice may receive income from patients, Medicare, private health funds, insurers or NDIS providers. Those receipts need to be reconciled alongside practitioner payments, service-fee arrangements and the everyday costs of running the business.

When a transaction is allocated to the wrong account, the records can become harder to follow. A payment showing in an income account when it belongs in a clearing account is one example Kenneth has encountered in medical-practice bookkeeping.

Gravity brings experience with these workflows to your bookkeeping. The aim is to help you understand what is happening in the accounts while giving your team support with the work behind them.

Practical support for your practice’s bookkeeping

You may need someone to manage regular bookkeeping, help with a particular part of the workload or explain a process your team handles internally. Start with your current setup and agree which tasks Kenneth will take on.

Everyday bookkeeping

Support with accounts payable and receivable, transaction coding and account reconciliations keeps the everyday bookkeeping connected to the receipts, payments and expenses behind it. Where entries need attention, Kenneth can review and reallocate transactions within the agreed scope.

Xero management and improvements can also form part of that support. Discuss your current setup, the processes your team uses and the areas that make regular bookkeeping harder than it needs to be. Kenneth can help review the way Xero is used and agree practical improvements around your requirements.

Kenneth also has experience with MYOB, QuickBooks and Reckon. Let him know which platform you use when discussing the support you need; the service scope is agreed around your software and business.

01

Practice payments and accounts

Doctor and contractor payments can involve more than a straightforward transfer. Service-fee deductions, recipient-created tax invoices (RCTIs) and clearing or trust accounts may all form part of the process.

Kenneth’s medical-practice experience includes these arrangements. Discuss how your practice receives income, calculates practitioner payments and records the associated fees so the bookkeeping scope reflects your actual workflow.

Invoicing and debtor management can also be included in the agreed scope. That may involve support with the invoicing process, keeping receivables records up to date and following the payment process your business has agreed. Accounts payable support can cover the supplier side of the workflow as well. Tell Kenneth where the workload sits and what your team would like help managing.

02

Payroll support

Practice managers, nurses, reception staff and practitioners may work under different arrangements. Your bookkeeping needs to reflect the payroll and payment processes used by your practice.

Kenneth offers support with payroll, Single Touch Payroll (STP) and superannuation within an agreed scope. Use the introductory conversation to explain your team, current payroll process and the tasks you would like help with.

Payroll tax and WorkCover obligations can also be discussed as part of your employer-related bookkeeping needs. Explain your current arrangements and the support you require so responsibilities, information and any work involving your other advisers are clear before proceeding.

03

BAS, IAS and reporting

Support with BAS and IAS preparation and lodgement, together with end-of-month reporting, within the services agreed for your practice.

The day-to-day records feed into this work. Discuss whether you need ongoing bookkeeping through to reporting and activity statements, or help with selected tasks. Kenneth is a registered BAS agent, registration number 26309638.

Reporting and business insights help you discuss what the records show, rather than only receive a set of figures. Business systems implementation and process and procedure development are also available for discussion. Whether you need a clearer workflow, more consistent records or support putting a system into use, agree the priorities, responsibilities and work to be covered with Kenneth.

04

Proactive support and guidance

Ongoing support gives your team a place to raise questions and discuss where a process needs attention. Kenneth can work with you on practical next steps within the agreed scope.

Working as part of your team

Choose the support that fits

Start with the work you need help with. The service scope and fees are agreed around your practice or business rather than assumed from a package name.

Hourly bookkeeping support

$120 + GST per hour

For practices and other businesses that need help with selected bookkeeping tasks or want to begin with a defined piece of work. You might want support reviewing transaction coding, reconciling accounts or working through a bookkeeping question.

Discuss the work involved with Kenneth before proceeding, including the tasks to be covered and how the hourly support will fit with the work your team already handles.

Monthly retainers

Tailored quote

For practices and other businesses that need a regular bookkeeping relationship rather than separate requests for each task. A retainer can be discussed around your ongoing accounts, practitioner-payment processes, payroll and reporting requirements.

The inclusions and monthly fee are agreed after reviewing your workload. Tell Kenneth which tasks your team already handles and where you need ongoing support, so the proposal reflects the work you actually want covered.

Personalised training

Tailored quote

For practice managers, business owners and team members who want to understand particular bookkeeping processes or feel more familiar with their work in Xero.

Training can be discussed around the tasks you use in your practice, including transaction allocation and how entries relate to clearing accounts or practitioner payments. Explain what you want to learn, and Kenneth will discuss suitable training and fees with you.
